Privacy Notice for Artists and Associates

About Us
OVADA is an exhibition, education and and visual art development space in Oxfordshire. As an artist-led, not-for-profit organisation we provide unique opportunities for both artists and audiences. We run an exciting programme of exhibitions and events; an expanding Associates Network; a wide range of learning opportunities and provide studios at our venue in Oxford city centre. We also work at other off-site locations and via online/digital projects.

When we state “OVADA” (or “we”, “us” or “our”) we are referring to OVADA (Oxfordshire Visual Arts Development Agency); a not-for-profit company limited by guarantee, registered number 5138370.

Personal Data
OVADA only collects personal data which is necessary for us to carry out our activities. This is data that you tell us about yourself when applying for an opportunity, exhibition or studio at OVADA or when joining as an OVADA Associate. This data can identify who you are and may include:

  • your name

  • email address

  • postal address

  • telephone number

  • Information about you as an Artist, including website/social media links, CV/Artist’s Statement and images of your work

  • Payment history

  • information acquired via Cookies/Google Analytics.

We will only use your personal information to enable us to carry out our activities, which may include:

  • informing you about our upcoming exhibitions, events, classes, opportunities and general news via e-newsletters.  

  • processing and maintaining your online Associates profile and annual subscription fees.

  • enabling you to support our organisation as an Associate, volunteer, friend of OVADA or by purchasing items/tickets online.

  • responding to enquiries you may have sent us or contacting you for feedback.

  • updating you about relevant changes. 

Your information will be stored securely, either on paper or electronically, and unless otherwise disclosed by us during collection, we will only share your information with the authorised people who are working for OVADA, except in the event that disclosure is required by law.

We take your privacy seriously and do not want to send you information that you do not want to receive. If you receive newsletters or other correspondence from OVADA that you would prefer not to receive, you can unsubscribe from our mailing list at any time by using the ‘unsubscribe’ link at the bottom of our emails. As an Artist, your personal data will be kept so that we can contact you as we described above until you ask to be removed. As an Associate, if you choose not to renew after your expiry date we will delete your email address and postal address immediately. Unless you request otherwise, we will however keep your name and the statement/images linked to your unique Associate number on file in the event that you would like to renew as an Associate in the future. If you asked to be removed we will carry out this request securely within 14 days. However we may need to keep a note of this request.

Please note that we may still contact you in the future, for example, if you continue to opt-in’ to our general newsletter.

You can request a copy of the personal data that we hold for you and we will respond within 28 days upon receiving your request.
